Team Policies

Our mission is to create a recreational summer swim program providing our neighborhood youth opportunities to learn sportsmanship, team camaraderie, and competitive swimming in a fun and healthy environment. With our coaching staff and supportive parents, we encourage spirit, personal commitment, and individual growth for each member of the team.

DUES & REGISTRATION

Dues for the 2026 season are $160/swimmer plus Swim Topia Fees.  Swimmers may, and are encouraged to join the team anytime during the summer but must pay the full registration fee of $160/swimmer, unless VPSU roster is already submitted to the insurance carrier.

There will be a full refund if the Board is notified of withdrawal by Friday of the first week of practice. This gives your child four (4) days of practice to make a decision without a financial obligation. After that date, there will be a $50.00 refund if your child withdrawals before the first meet. After the first meet, there will be no refund.

A swimmer is considered registered when…

  • THE ONLINE REGISTRATION HAS BEEN COMPLETED; 
  • DUES ARE PAID IN FULL; AND
  • MINIMUM VOLUNTEER REQUIREMENTS HAVE BEEN CHECKED; AND
  • HOLD HARMLESS/LIABILITY AND PHOTO RELEASE AGREEMENT HAS BEEN SIGNED

Only registered swimmers can participant in practices and meets.

SWIM REQUIREMENTS

All swimmers are required to make it down the pool at least one (1) lap without assistance. They do not have to have a formal stroke.  Swimmers who are not water safe may be asked to withdraw from the team after the coach’s evaluation.  These swimmers are encouraged to join our "Little Sharks" Swim Program or take swim lessons and rejoin the team when possible. If the swimmer is asked to withdraw from the team, he/she will receive a full refund.

Kingsmill Sharks Gear - SwimOutlet.com

Swim caps -  Only Kingsmill caps are acceptable for meets. Swim caps may be purchased for $10 throughout the season and at Popsicles in the Park and Meet the Coaches Night. 

Goggles - Goggles are recommended and can be purchased at any local sporting goods store or on our Swim Outlet team store. We have GREEN goggles on our store site!

PRACTICES

All practices are at Mounts Bay Pool. Our time in the pool each day is limited by other pool activities so we ask that all swimmers make every attempt to be on time.  Please make sure your child has their KCSA pool card!  Pool cards can be ordered from the KCSA office.

  • 4:30-5:00 pm -ages 6 and under & Little Sharks Swim Program (May 27th-July 24th)
  • 5:00-5:45 pm -ages 7-8 & 9-10
  • 5:45-6:30 pm -ages 11-12
  • 6:30-7:30 pm -ages 13 and older

  • 8:15-9:15 am - ages 13 and over
  • 9:15-10:15 am -ages 10 & 11-12

  • **Please note no little sharks the week of June 3rd, 4th and 5th due to head Coach vacation. Also week of July 4th, Little sharks will be on June 30th, July 1st and July 2nd, NOT July 3rd due to Coach absent)

*Week of July 20-24th - Practice for Summer Awards Swimmers and VPSU qualified swimmers ONLY

Kingsmill Pool Rules apply during practice. Children 8 years of age or younger must be accompanied by an adult or babysitter age 14 years of age or older. Babysitters may not care for more than 3 children.  Every swimmer must present their pool card.

TEAM COMMUNICATION

Website:  kingsmillsharks.swimtopia.com.  Information regarding the meets, work commitments, and contact numbers can be found on our website.  Team emails are published on the website as "news," so they can be quickly referenced.  ***Please turn on your push notifications in your phones to receive alerts from SwimTopia!  This will allow you to not have to refresh your e-mail when looking for inclement weather updates!
  3. Family Folders: File boxes with your family folder will be located at the Mounts Bay lifeguard desk. Meet ribbons are placed in family folders by Thursday following each Monday meet.

PARENT WORK COMMITMENTS

Season Meets:  We rely on a volunteer staff for an incredible summer of fun and competition for our children.  Each family is required to sign up for 6 points worth of volunteer commitments.  Each point covers one session (there are 2 sessions in each meet). You may choose, for example, to sign-up for 3 meets, or one half of each of the six meets.  If you cannot fulfill your work assignment, it is your responsibility to switch with another parent and inform us of the change. The team is not responsible for finding a substitute for you. If you do not show up for a work assignment, you will be assigned a make-up work assignment or Kingsmill Sharks Swim Team reserves the right to charge $50 per missed shift and swimmer will be ineligible to swim in upcoming meet.

All parents of swimmers attending the time trials, Summer Awards Meet & VPSU Champs Meet are required to work. 

Below are descriptions of the various positions. We have experienced volunteers who lead each group and they will help you get comfortable in whatever volunteer role you choose.

Concessions - Sell food and drink at home meets.  

Timers - There are 3 timers per lane. Each timer starts his/her watch on the light of the starting machine, and stops it when the swimmer's race is completed. The 3 times are written on a sheet and submitted to give the swimmer his/her time. We require timers for both home and away meets. Timers attend a meeting approximately 15 minutes before the start of each meet.  Please ensure accurate timing as swimmers are trying to break records and qualify for VPSU Champs Meet!

** Please make sure all timers are over the age of 18.

***No phones or picture taking behind the blocks for Safe Sport Reasons.

Runners - Collect timer cards from the lead timer in each lane and delivers them to the scorer's table after each event. We require runners for both home and away meets.

Clerk of Course - Line the swimmers up for their events to ensure they get in the proper event, heat and lane. Maintains order with the swimmers behind the blocks/starting area. We require clerks for both home and away meets.

Sweeps Judge - Records the order of finish for the top 4 places in each event. Records this on the sweep judge's form for each scoring heat (Heat 1). We require one sweeps judge for both home and away meets.

Ribbons - Prepares ribbons that include printouts of the time and place of each swimmer. We require ribbons volunteers for both home and away meets.

Scorekeepers - Records the places and times of each event. Keeps a running total of the score. 

Starter - Calls swimmers up for their event. Gets the swimmers "to their mark" and then starts the race. 

Stroke and Turn Officials - This position requires stroke and turn officials training. US Swimming certified do not need to attend training but do need to review the VPSU rules and understand the differences. The S&T officials ensure swimmers are swimming the event/stroke within the VPSU rules. Officials fill out a form when they observe an infraction. The final decision on each infraction is approved or denied by the head referee.

2026 SHARKS Family FUN NIGHT

This is a family event that includes dinner, relay races, organized games, free swimming, and more that encompasses everything "FUN" that you just won't want to miss!  This is a great night for swimmers to bond and show their Sharks spirit. We encourage all families to attend!

MEETS

Time:  Meets start promptly at 6:00 pm. That means that the first race starts at that time. We will communicate by email what time swimmers need to arrive for warm-ups. Please understand that warm-ups are typically one hour prior to the start of the meet.

Weather:  In cases of inclement weather, VPSU rules do not allow for meets to be canceled before 6:00 p.m. Regardless of the weather predictions, families should plan to be at the pool unless otherwise notified.  Oftentimes, teams choose to wait for storms to pass to attempt to swim as many events as possible.  If the Meet is rescheduled, it will take place the next day (Tuesday).  If you are scheduled to work Monday and the meet has been rescheduled to Tuesday, those scheduled for Monday's Meet will be expected to work same time and same job on Tuesday.

Events:  Swimmers ages 7-18 can swim up to 3 individual events.  Swimmers ages 9-18 can also swim one team relay (relay participants are chosen by Coach Caroline).  Swimmers ages 6 and under can swim freestyle and backstroke.

Team Relays:  We have 4 team relays at the end of each meet.   Coach Caroline announces the relay teams at the end of the individual events. All swimmers are encouraged to stay to cheer for the Sharks relay teams!

Clerk of Course and Timing

Clerk of Course for both teams will be located at the back right area of the pool by the blocks. Swimmers from both teams will be organized at Clerk of Course together under the pergola. There will be three timers per lane and two head/backup timers.

Amenities and Concessions

All restrooms will be open for use. Concessions will sell a full dinner menu as well as packaged snacks such as candy, ice cream, drinks, chips, fruit, etc. Healthy dinner options will also be available for purchase at our concessions!  We encourage our families to take the night off from cooking and support our concessions with healthy dinner choices for kids and adults!  Head of Concessions will send an email before our home meets to indicate the menu items for purchase. 

Policies: Kingsmill Sharks, Inc and its Board Members and Coaching staff reserve the right to ask both Swimmers and Parents to leave and or resign from the swim team for unsportsmanlike conduct or for any other reason that may cause harm to the swim team itself or any of it's members.
